Court registry and filing counter

For a registry where advocates' clerks, litigants and copy applicants crowd one set of windows before the court rises, and a filing that comes back with a defect starts the wait again. An example of how a registry could call people to its counters; the filing, the scrutiny and the copies remain the registry's own work.

  • Filing clerk × 2 Staff

Receives filings at a window and sends each one on to scrutiny.

  • Scrutiny clerk Staff

Checks the filing and either completes it or sends the filer back to the Filing line with a note of the defects.

The day

Hours, the TV and the poster

  • Opening hours

Monday to Friday, 10 am to 5 pm; Saturday and Sunday closed.

Add the vacation and court holidays as closed days. If the registry stays open for urgent filings on some vacation dates, give those dates their own shorter hours instead.

  • TV display

The token being called and the window to go to.

In the registry corridor, above the filing windows.

  • QR poster

At the registry entrance and in the advocates' room.

Tips

  • Send a defective filing back to the windows.

When scrutiny finds a defect, the clerk presses Send to… and picks a Filing service, with a note for the next desk saying what to cure. The filer gets a new token for it without joining the line again themselves.

    How it works →
  • Call again when a name is not answered.

A clerk stepping out of the corridor misses a call. Call again sends the call out once more, on their page and on the TV, without moving anyone in the line; it can be pressed once every 30 seconds.

    How it works →
  • Book the record room, not the windows.

Inspection of records is a bookings-only line: it takes no walk-ins, and a booked time holds one person for the record room.

    How it works →
  • Say when a window is on a break.

Pause a window with a reason such as Meal and a return time. The board shows when it is back, and people waiting on that line see the delay in their estimate.

    How it works →
  • Find the hour the filings pile up.

Insights' Waits page, filtered to the Filing line, shows the average wait by the hour people joined, so you can see when the second window is needed.
