Dental clinic

For a dental clinic with three chairs, where booked treatments run long, a patient with a toothache walks in unannounced, and the X-ray room is always one person behind.

  • Associate dentist × 2 Staff

One runs Chair 2 for booked treatments, the other Chair 3 for walk-ins.

  • Dental assistant Staff

Runs the X-ray room and calls the next patient there.

  • Receptionist Staff

Adds walk-ins at the desk, books callers a time, checks in a booked patient, hands out the QR slip and runs billing.

    Ticked: Front desk, Urgent

Visits with several steps

  • X-ray, then back to the chair

A patient sent for an X-ray goes to the X-ray line and returns to the dentist who sent them, ahead of new arrivals.

    1. The service itself
    2. Back to whoever sent them
  • Treatment, then billing

After a filling or a crown the patient goes on to the Billing line instead of waiting at the chair.

    2. Go to Billing

The day

Hours, the TV and the poster

  • Opening hours

Monday to Saturday, 10 am to 7 pm; Sunday closed.

Close the days the dentist is away at a conference. Patients who booked a root canal on those days are listed so you can cancel or keep each one.

  • TV display

The token being called and the chair or room to go to.

Above the reception counter, where patients in the waiting area can see it.

  • QR poster

On the clinic door and at reception, so a patient with a toothache can take a place from the pavement.

Tips

  • Put the toothache patient ahead with Urgent.

Give the receptionist the Urgent ability. A patient in severe pain goes above the line in one tap, and the chairs see a banner.

    How it works →
  • Keep long treatments on bookings.

Root canals and crowns run 30 to 45 minutes. Booking them keeps the walk-in line short and the chair planned. A booked patient presses I am here on arrival, or the receptionist, with the Front desk ability, checks them in on the Waitlist, and Call Next skips a booking nobody has checked in.

    How it works →
  • Let one chair serve two lines.

Chair 1 calls from both Checkup and pain and Treatment chair, so it is not left empty when a booking is late.

    How it works →
  • Pause a chair for sterilising.

Take a break with the reason "Other" and a return time. The team sees when the chair is back, and waiting patients' estimates allow for it.

    How it works →
  • Chain treatment to billing once.

A process sends the patient to Billing after the chair, so the receptionist is not hunting for who has finished.
