Team

  • Blood bank officer Owner

Sets up the lines, the desks and the camp days, and runs a Screening desk on busy days.

  • Camp coordinator Manager

Watches the Live Board on a camp day and changes which lines a desk calls from when the chairs back up.

  • Registration volunteer × 2 Staff

Adds donors who arrive without a phone and hands them a token slip.

    Ticked: Front desk

  • Screening doctor Staff

Calls the next donor to a Screening desk and, on Complete, picks whether they go on to donate.

  • Technician × 3 Staff

Calls the next donor to a chair and completes the visit when the donation is done.

  • Refreshment volunteer Staff

Calls donors to the Refreshment counter and completes them when they leave.

Visits with several steps

  • Register, screen, donate, rest

After registration the donor goes to Screening; the doctor chooses whether they go on to a chair and then to Refreshment, or home for today.

For Whole blood donation, First-time donor, Repeat donor

    1. The service itself
    2. Go to Screening
    3. Choose one — the desk that finishes the step before chooses

      Done

      Fit to donate

      1. Go to Donation chairs
      2. Go to Refreshment

    1. The service itself
    2. Go to Screening
    3. Choose one — the desk that finishes the step before chooses

The day

Hours, the TV and the poster

  • Opening hours

Monday to Saturday, 9 am to 5 pm; Sunday closed, except on camp days.

Give each camp Sunday special hours, such as 8 am to 4 pm, a few weeks ahead. A date's hours beat its weekday, so the next Sunday is closed again by itself.

  • TV display

The token being called and the counter or chair to go to.

In the donor waiting area, where people sitting between registration and screening can read it.

  • QR poster

At the entrance and on the camp's welcome table, so a group can take places from their phones while they wait to fill in forms.

Tips

  • Start the steps at registration, not at the donation.

A donor who joins from their phone never runs steps placed before the service, so the process starts at registration and every later counter follows it. A child service does not take its parent's process, so attach it to First-time donor and Repeat donor as well.

    How it works →
  • The doctor decides; Line Me Up only calls.

Line Me Up does no medical screening and keeps no medical record. The doctor screens as you do today and, on Complete, picks Fit to donate or Not today. Not today is the default, so nobody is sent to a chair unless the doctor says so.

    How it works →
  • Each counter gives its own token.

Registration, Screening, the chair and Refreshment each give the donor a new token on their page. A visit's tokens are linked, so nobody is called to two counters at once.

    How it works →
  • A camp day is special hours.

Phones cannot join outside your hours, so a camp Sunday needs its own hours on that date. Set them from the start of registration to the last donor you will take.

    How it works →
  • Book platelet donors a time.

Registration takes walk-ins and bookings. A booked time holds one person per desk, up to seven days ahead, and the donor's inbox reminds them the evening before and an hour before. On arrival the donor presses I am here, or a registration volunteer, with the Front desk ability, checks them in.

    How it works →
  • Pause a chair when a donor feels faint.

Pause the chair with "Emergency call". Waiting donors do not see the reason; their estimate allows for the break, and after 15 minutes their inbox says the desk is paused until about the time you set.
