-
Service manager Manager
Handles complaints and approves a job that has run over the estimate.
-
Service advisor × 2 Staff
Writes up the job at reception and takes the customer's approval of the estimate.
Ticked: Front desk, Urgent
-
Technician × 6 Staff
Runs a bay, calls the next car and marks the job done.
-
Quality inspector Staff
Road-tests every car before it goes to billing.
-
Cashier Staff
Hands back the keys at the Cashier counter.
Visits with several steps
-
Estimate, repair, check, handover
When the advisor sends a car on for a repair, the estimate is the step they are completing; the car then goes to a bay, is road-tested, and only then goes to billing.
For Brake pads and discs, Suspension check and repair, Clutch and gearbox work
- Go to Estimate and approval on Service advisor
- The service itself
- Go to Quality check
- Go to Billing and delivery
-
Service, check, handover
A routine service goes straight to the bay, then the road test, then billing. The customer is not asked to come back to the advisor.
For Periodic service, Oil and filter change, AC service and gas top-up
- The service itself
- Go to Quality check
- Go to Billing and delivery
The day
Hours, the TV and the poster
-
Opening hours
Monday to Saturday, 8:30 am to 6:30 pm; Sunday closed.
Add public holidays and the days a brand holds its technician training as closed days. Customers who booked a workshop slot on those days are listed so you can cancel or keep each one.
-
TV display × 2
The token being called and where to go: reception, a bay or billing.
In the customer lounge, facing the sofas, and a second one at the delivery area.
-
QR poster
At the porch where cars are dropped, and on the lounge table, so a customer can follow the job from the page instead of walking to the workshop to ask.
Tips
-
Let customers book the workshop for periodic service.
Bookings open up to seven days ahead on the Workshop line. A booked car joins the line when its owner presses I am here or the workshop manager or an advisor, with the Front desk ability, checks it in. A car that arrives without a booking is written up at reception and the advisor sends it to the Workshop line, so the board shows both.
How it works → -
A car that cannot move goes first.
Give your advisors the Urgent ability for a car that has broken down at the gate. One tap puts it above the rest.
How it works → -
Run several bays from one tablet.
The workshop manager can run a bay from the board while a technician is under a car. Nobody waits for a technician to wash their hands.
How it works → -
Watch which hour the lounge fills.
After a month, Insights shows waiting times by hour. If Monday at ten is the worst, move the booked slots away from it.
How it works → -
Export the month's visits.
The Visits report filters by line and day and exports to CSV, for the owner's monthly review or the brand's audit.
