Managing the day

The Visits report

Every visit your business has had, one row each: who came, for what, when, and how it ended. This page shows owners and managers how to narrow it down, read its numbers and take it away as a spreadsheet.

What the Visits report is for#

The Live Board and the Waitlist are about now. Visits is about everything that has already happened: last Saturday afternoon, one desk's work this month, everyone who did not turn up for a booking last week. Each row is one visit — one person's place in a line, from joining (or booking) to the end — and the page never changes anything. You can look, filter, open and export, but nothing you do here moves anyone in a line.

Use it to:

  • find a particular customer's visit by their name, phone number or token;
  • answer a question about a period ("how many no-shows on Saturdays this month?");
  • see exactly what happened during one visit, step by step, and who served it;
  • take a list into Excel or Google Sheets for your own records or accounts.

Visits and Insights count the same visits by the same rules. Insights is the summary; Visits is the list behind it. Almost every number in Insights opens Visits already filtered to the visits it counted, so the two always agree.

Open the Visits report#

Who Owner, Manager

Where to find it Staff app Visits

  1. Sign in to the staff app at business.linemeup.in.
  2. In the sidebar, under Live, choose Visits. On a phone, open the menu first.
  3. The page opens on Today, newest visit first, with the totals for today above the list.

The round ? beside the title opens a short explanation of the page and the words it uses.

Choose the period#

Who Owner, Manager

Where to find it Staff app Visits Period

The period button sits at the start of the filter bar and shows the period you are looking at, with its dates beside it. A visit belongs to the day it was for: a booking's time, or the moment a walk-in joined. Days are always your business's days, in your business's time zone, whatever the clock on your own computer says.

To use a ready-made period:

  1. Press the period button.
  2. Choose one of Today, Yesterday, Last 7 days, Last 30 days, This month or Last month.
  3. The list and every number above it change at once.

Last 7 days and Last 30 days include today. This month runs from the 1st up to today; Last month is the whole of the previous calendar month.

Pick your own dates#

To choose any dates:

  1. Press the period button, then Custom range.
  2. Under From, choose the first day on the calendar.
  3. Under To, choose the last day. Both days are included.
  4. If you need an exact start or end, type it in From time (optional) and To time, not included (optional).

A custom range can cover up to a year, and it cannot end after today. With times, the start is included and the end is not: 09:00 to 13:00 includes a visit at 12:59 but not one at 13:00. That way two ranges that meet never count the same visit twice. A time applies to its own day only — 09:00 on the first day to 13:00 on the last is one continuous span, not those hours on every day. For hours on every day, use the time of day filter below.

Look at certain hours of every day#

Who Owner, Manager

Where to find it Staff app Visits Add filter Time of day

The Time of day filter keeps only visits between two clock times on every day of the period — for example every lunchtime this month, or every evening rush.

  1. Press Add filter, then Time of day.
  2. Type the start in the first box (every day from) and the end in the second (every day until, not included).
  3. To remove it, open it again and choose Any time, or press the × on its chip.

As with a custom range, the start is included and the end is not. An end earlier than the start runs past midnight: 22:00 to 02:00 is one night, counted on the day it started. That suits a business open late into the night.

Filter the list#

Who Owner, Manager

Where to find it Staff app Visits Add filter

Filters narrow the list and every total above it together. You can combine as many as you like; a visit has to match all of them.

To add a filter on a computer or tablet:

  1. Press Add filter in the filter bar. Every filter you have not used yet appears.
  2. Press the one you want and tick one or more values in the list that opens. Past eight values, the list has its own search box.
  3. The filter becomes a chip, such as Line: Haircuts or Status: 2 chosen, and the list updates straight away.
  4. To take one filter off, press the × on its chip. To take them all off, press Clear filters when it appears.

On a phone there is no Add filter button: the search box comes first, and every filter is a chip in one row you can swipe sideways.

The filters, and what each one matches
FilterWhat it keeps
Status How the visit stands or ended: Booked, Waiting, Called, Being served, Served, Cancelled, No-show, Closed for the day, Gave up their place or Removed by a desk. Cancelled covers both of the last two: someone who left the line themselves, and someone a desk took out of it.
Line Visits in the lines you tick. Lines you have since removed are still listed, marked as removed.
Desk Visits handled at the desks you tick, including desks since removed.
Service Visits that chose one of the services you tick. Only the services ticked count: ticking a heading on your menu does not include everything under it.
Staff Visits served by the people you tick. Someone who has left your team is still listed, so their past work stays findable.
Type Walk-in or Booked.
Day Days of the week, for example every Saturday and Sunday in the period.
Time of day The same hours on every day of the period, as described above.

Find one customer's visit#

Who Owner, Manager

Where to find it Staff app Visits Name, phone or token

  1. Make sure the period covers the day of the visit. If you are not sure, choose a longer one such as Last 30 days.
  2. Type in the search box, marked Name, phone or token: part of the customer's name, some digits of their phone number, or the token they were given, such as CON-20261030-014.
  3. The list narrows as you type. Press the row to open the visit.

Read the numbers at the top#

Who Owner, Manager

Where to find it Staff app Visits

The numbers above the list count every visit your period, filters and search match — not only the rows on the current page. Each tile says underneath how it is counted.

The totals on the Visits report
NumberWhat it counts
VisitsEveryone on these days, bookings included — and how many different customers they were. One person who came twice is two visits and one customer.
ServedVisits that ended served.
Avg waitFrom joining to being called. Only people who were called have a wait.
No-show rateOut of the people you called, the share who did not come — never a share of everyone who joined. The line under it says, for example, "3 of 40 people we called".
Gave up their placePeople who left the line themselves.
Removed by a deskPeople staff took out of the line.
Still waiting at closingPeople taken off the line when the day closed, never called. Nobody's choice, so they are neither cancelled nor no-shows.
Avg serviceFrom starting to finishing a service.

On a computer the first four show straight away and 4 more numbers opens the rest; Fewer numbers folds them away again. On a phone you see Visits, Served and Avg wait, and No-shows, cancelled and 2 more opens the others.

A dash instead of a number means there is nothing to count or average yet — for example no one has been called, so there is no wait. It does not mean zero minutes.

See how visits ended, and filter by it#

On a computer or tablet, the How visits ended card under the totals draws every matching visit as one bar, split into served, gave up their place, removed by a desk, no-shows, still waiting at closing, and those still in a line now. Its parts add up to the Visits number.

  1. Press a part of the bar's key, for example No-shows.
  2. The list now shows only those visits, as if you had chosen that status.
  3. Press the same part again to take the filter off.

Read the list#

Visits are grouped by day, newest first, and today's heading says Today. On a computer each row shows:

  • When — the time of the visit, marked Joined for a walk-in or Booking, made … for a booked visit, with when the booking was made;
  • Customer — their name (or No name given), with their token and phone number under it, and a priority tag if the visit was urgent;
  • Line and services — the line, and the services they chose (or No service chosen);
  • Status — how it stands or ended;
  • Waited and Service time, in minutes.

The list shows 50 visits a page on a computer and 20 on a phone. Use Next and Previous under it; the counter beside them says which ones you are seeing, such as 51–100 of 312.

Open a visit to see what happened#

Who Owner, Manager

Where to find it Staff app Visits a row

  1. Press any row.
  2. The visit opens in a panel titled with its token: beside the list on a wide screen, from the bottom on a phone. The list stays where it was.
  3. Read the facts at the top, then the Timeline and, where there is one, the Whole visit.
  4. Press Close to go back to the list.

The panel shows:

  • the visit's facts: Phone, Type (walk-in or booked), Wanted (the services chosen), Waited, Service time, Desk, Served by, when they Joined or the Booking time, and Booked at for a booking;
  • the Timeline: what happened, in order and in plain sentences — joined, called, served, and by whom — the same trail the Waitlist shows;
  • for a visit with several steps (for example a consultation, then the lab, then back to the doctor), the Whole visit: every step, where it was and who served it. Steps on lines you do not look after read Another line.

Export the visits as a CSV file#

Who Owner, Manager Plan Basic and up

Where to find it Staff app Visits Export CSV

The export is exactly the visits the page is showing: the same period, filters and search — every page of them, not only the rows on screen.

  1. Set the period, filters and search until the list shows what you want.
  2. Press Export CSV at the top right of the page. It reads Exporting… while the file is made.
  3. Your browser saves a CSV file named for the dates it covers.
  4. The page confirms underneath, for example Exported 312 visits.
  5. Open the file in Excel, Google Sheets, Numbers or any spreadsheet.

The file has one row per visit and these columns, in this order:

Date, Time, Booked at, Token, Customer, Phone, Line, Desk, Served by, Type, Status, Services, Waited (min), Service time (min) and Priority.

Date and Time are when the visit was for — the slot for a booking, the moment they joined for a walk-in. Booked at is when a booking was made, and is empty for a walk-in. Times are on your business's clock. Names in any script, such as Hindi or Tamil, open correctly in a spreadsheet.

Share or keep a view#

Who Owner, Manager

Everything you choose on this page — the period, each filter, the search, the page you are on and an open visit — is kept in the page's address. So you can:

  • bookmark a view you use often, such as "no-shows on the last 30 days";
  • copy the address and send it to another owner or manager, who sees the same view when signed in (a manager limited to certain lines sees only their part of it);
  • use your browser's Back button to undo the last filter you changed.

Arrive from Insights#

When you press a number, bar or square in Insights, Visits opens with the period and filters already set to match it — for example the no-shows on one line over the last 7 days, or everyone who joined between 10 and 11 on Saturdays. The chips in the filter bar show exactly what was applied, and you can change or remove any of them as usual.

How far back you can look, by plan#

Each plan includes a different reach of history for the Visits report, and the CSV export is included from Basic. These are the plans as listed on Pricing:

Visits history and export on each plan
PlanVisits historyCSV export
FreeTodayNot included
Basic7 daysIncluded
Standard30 daysIncluded
Pro90 daysIncluded
Premium12 monthsIncluded

Whatever your plan, one view can cover at most a year. Your visits themselves are kept either way; the reach is about how far back the report looks.

When something goes wrong#

  • No visits in this period. — nobody joined or booked for those days. Choose a longer period, or check that customers can reach you (see Posters, links and QR codes).
  • No visits match. — there are visits in the period, but none match every filter and the search. Press Clear filters.
  • Your visits didn't load. — the connection dropped. Check it, then press Try again.
  • This report took too long. Try a shorter range, or try again in a minute. — very large reports are stopped after a few seconds so that they can never slow down the lines and desks working at the same time. Choose fewer days, or add a filter.
  • The export didn't work. — try again; if it keeps failing, export a shorter period.
  • A visit you expected is missing — check the period first: a booked visit belongs to the day it was booked for, not the day the booking was made.
