Getting started

Finding your way around the staff app

The staff app is where your whole team works, at business.linemeup.in. This page shows how it is laid out on a computer, a tablet and a phone, what each person sees in it, and how everyone looks after their own account.

One app, three views of it#

Owners, managers and staff all use the same staff app, with the same login page. What you see once you are in depends on your role:

  • Owners see everything: the live screens, all the setup screens, Insights and Settings.
  • Managers see the same sidebar without Settings. Where a manager has been given only some lines, every screen shows only those lines.
  • Staff do not get the sidebar. They land on the Workboard, the one screen for serving at a desk, which is built so nothing gets in the way of the next customer.

The staff app runs in a web browser on a computer, a tablet or a phone. There is nothing to install.

Who Owner, Manager, Staff

Where to find it Staff app Log in

  1. Go to business.linemeup.in/login. The page says Welcome back.
  2. Type your Email and Password.
  3. Press Log in.

Where you land depends on who you are:

  • An owner or manager lands on the Live board.
  • An owner who has not finished setup lands back in setup, on the step they reached.
  • A staff member always lands on their Workboard.

There is no business to choose: one login belongs to one business, so the app knows where to take you.

On the log-in page you will also see Try a live demo, which opens one of the demo businesses. See Trying the live demos.

The sidebar#

Who Owner, Manager

On a computer the sidebar runs down the left-hand side. At the top is the Line Me Up name and a card with your business's name and your role. Below it, the screens are in three groups: Live, Set up and Business. The screen you are on is highlighted.

The sidebar only lists the screens your role can open. Nothing is hidden behind a lock: if it is not in your sidebar, it is not for your role.

Group Item What it opens Owner Manager
Live Live board Every line and desk right now, with alerts when a line needs help. Yes Their lines
Waitlist Every person waiting or booked, line by line. Find someone, move them, call them to a desk. Yes Their lines
Visits Every visit as a report: filter, look back, export. Yes Their lines
Set up Desks The places customers are served, and which lines each one calls from. Yes Desks on their lines
Lines Your lines: how people join, how long it usually takes, pausing. Yes Their lines
Services The menu customers choose from, and the line each choice goes to. Yes Their lines
Processes Visits with several steps, built as a flow of cards. Yes Processes on their lines
Team Your people, their roles, lines and leave. Yes Staff on their lines (abilities and leave only)
Displays The TVs you have paired and the pages they show. Yes Displays on their lines
Business Insights How the day, the week or the month went: waits, busy times, outcomes. Yes Their lines
Settings Your business details, hours, closures, QR code, customers, plan, billing and integrations. Yes No

"Their lines" in the Manager column applies to a manager the owner has given certain lines. A manager who has not been given any lines sees every line, the same as the owner.

Beside Waitlist, a small figure shows how many people are waiting right now. It updates by itself.

At the foot of the sidebar:

  • Work my desk — opens your own Workboard. You only see it if you have a desk of your own, such as an owner who also serves customers.
  • You — your initials, your name and Your account. Press it to open your account.
  • The version stamp — a small grey line starting with "v" and the version number. See See what's new.

What staff see#

Who Staff

Staff work from the Workboard, which has no sidebar. Its header shows the desk's name, its status, and the Live indicator. At the foot is a button with your name, how many you have served today, and My day · Sign out. It opens the My day sheet, which holds:

  • who you served today and who gave up;
  • Open the Waitlist, to look at the whole line;
  • Your account;
  • End shift and Sign out.

A staff member can open the Waitlist from there to see who is waiting on their lines. Staff cannot open the Live board, Settings or the setup screens; if they follow a link to one, they are taken back to their Workboard. The Workboard itself is explained in Serving at a desk: the Workboard.

Owners and managers who open their own Workboard see a Live board button in its header, to go back.

On a phone, a tablet and a computer#

The staff app rearranges itself to fit the screen:

Screen Navigation
Computer, or a wide tablet The full sidebar on the left, with group names, labels, your account and the version stamp.
Tablet, or a narrow window A slim rail of icons on the left, in the same order as the sidebar. The current screen's icon is filled in.
Phone A bar at the bottom with Board, Waitlist, Desks and More. The waiting count is a badge on Waitlist.

To reach any other screen on a phone:

  1. Tap More in the bottom bar.
  2. A sheet opens with the rest of your screens (Lines, Services, Team, Visits, Insights, Settings and so on), plus Work my desk if you have one, Your account, and the version stamp.
  3. Tap the screen you want. The sheet closes.

On the Live board and the Waitlist, Add visit is always at hand, for somebody standing at the desk or ringing up. On a phone it floats above the bottom bar.

Jump to a screen, a person or a token#

Who Owner, Manager

Where to find it Staff app Find a person, token or screen

The search box at the top of every screen is labelled Find a person, token or screen.

  1. Click the box, or press Ctrl K (⌘ K on a Mac) from anywhere.
  2. Type part of a screen's name, such as "ins" for Insights. Matching screens appear in a list; so do Work my desk and Your account.
  3. Or type a name, phone number or token. The list offers Find "…" on the Waitlist, which opens the Waitlist already searching for it.
  4. Use the arrow keys and Enter, or click a result.

If nothing matches a screen, the list says No screen by that name.

Know whether the screen is live#

The staff app updates by itself as people join, are called and are served — you do not need to refresh. A small indicator in the header says, in words, whether that is working:

  • Live — updates are arriving within seconds.
  • Reconnecting… — the connection dropped for a moment and is coming back.
  • Live updates unavailable — the live connection is blocked (some office networks do this). The screen still checks for changes regularly, just less often.

How the desk keeps working through a short wifi drop is covered in Live updates, offline, privacy and accessibility.

Get help on any screen#

Every screen in the sidebar has its title, a one-line sentence saying what it is for, and a round ? button beside the title (its name is About this page).

  1. Press the ?.
  2. Read what the page is for, then the Words on this page. Tap a word to see what it means for you.
  3. Press How Line Me Up works for the whole loop, step by step: someone joins, waits, is called, is served, and is done.

Some numbers and labels have a small i beside them, which explains just that word. The Workboard shows a short introduction the first time, with How Line Me Up works and Got it; press Got it and it stays away.

Switch between light and dark#

Who Owner, Manager, Staff

Where to find it Staff app Your account This device's theme

The staff app has a light theme and a dark theme. The choice is kept on this device only, so a dark screen at the front desk does not follow you home to your phone.

From your account page (everyone):

  1. Open Your account.
  2. Under This device's theme, choose Light, Dark, or Same as this device.

Quickly, from the header (owners and managers):

  1. Press the round button with your initials at the top right.
  2. Choose from the Theme list.

Same as this device follows the phone's or computer's own setting, and changes when it does — dark in the evening, for example, if the device switches by itself. The theme changes at once, with no reload.

Your account#

Who Owner, Manager, Staff

Where to find it Staff app Your account

Your account is the one page about you rather than the business. Everyone has it, whatever their role. It opens with a card saying who you are signed in as: your name, your role at your business (for example "Manager · Riverside Clinic"), your email and your language.

To open it:

  1. Owners and managers: press your name at the foot of the sidebar, or the round initials button at the top right and then Your account. On a phone, it is in More.
  2. Staff: on the Workboard, press My day · Sign out at the foot, then Your account. The page has a Back to my desk button, and says which desk you are on shift at.

The round initials button also shows, at a glance, your name, email and role — useful when a shared computer may be signed in as somebody else.

Change your name, email or phone#

  1. Under Your details, change Name, Email (the address you sign in with) or Phone (optional).
  2. Press Save. A message says Account updated.

Change your password#

  1. Under Your password, type your Current password.
  2. Type a New password of at least 8 characters.
  3. Press Change password.

If the current password is wrong, the page says That is not your current password and nothing changes. If you are still using a temporary password, a reminder above the form says so until you change it.

Choose your language#

Every person chooses their own language: a receptionist can work in Tamil while the owner reads the same business in English. The staff app is available in eight languages: English, മലയാളം (Malayalam), हिन्दी (Hindi), தமிழ் (Tamil), Español (Spanish), 日本語 (Japanese), 简体中文 (Simplified Chinese) and 繁體中文 (Traditional Chinese). Each is listed in its own script, so you can find yours even on a screen you cannot read.

  1. Under Language, open the list.
  2. Choose a language, or Same as the business to follow the language the owner set for the business.
  3. The page redraws in that language.

Your language is saved to your account, so it follows you to every device you sign in on. Owners and managers can also change it from the language switch in the round initials menu.

Some things stay as they were typed, whatever the language: your line, service and desk names, and people's names. More in Languages and the words on screen.

Sign out, here or everywhere#

To sign out of this device:

  1. Owners and managers: press the round initials button, then Sign out.
  2. Staff: press My day · Sign out, then Sign out.

To sign out on every device at once:

  1. Open Your account.
  2. Under Your sessions, press Sign out on every device. You are signed out here and anywhere else you are still signed in.

Leave the business#

Leave this business, at the foot of Your account, deletes your own login at the business.

  1. Press Delete my account.
  2. Read what happens: you are signed out and cannot sign in again; your email and phone number are removed; your name stays on the record of the work you did, which belongs to the business. Only an owner can add you back.
  3. Press Yes, delete my account to go ahead, or Keep my account to stop.

See what's new#

Line Me Up is updated often. The small version stamp — at the foot of the sidebar on a computer, inside More on a phone, and under the Workboard — tells you which version this device is running.

  1. Press the version stamp.
  2. A panel opens: What changed, newest first. Each change is marked New, Improved or Fixed, in plain words.
  3. Close the panel to go back to what you were doing.

Use it with a keyboard#

The staff app is built to be used from the keyboard as well as by touch. When a new screen opens, focus moves to its title, so a screen reader announces where you are. Ctrl K (or ⌘ K) jumps to search from anywhere, and the Waitlist has keyboard shortcuts of its own — see The Waitlist.

If something looks wrong#

A screen I expect is missing from my sidebar
Your role cannot open it. Settings is the owner's alone; staff have no sidebar. Ask an owner to change your role on Team if you need more.
I can only see some of the lines
As a manager you see the lines an owner gave you. The owner can change them on Team.
The page says "That page isn't here."
The link may be out of date. Press Take me back.
I was signed in as somebody else
Press the round initials button to check who is signed in, then Sign out and log in as yourself.
